ANZACATA is migrating 2,200+ members across four countries to the Membes CRM platform while simultaneously enforcing strict NASRHP compliance obligations — CPD tracking, clinical supervision ratios, and AQF qualification verification. The central risk is not technical. It is human: creative arts therapists, whose professional identity is built on empathy and connection, receiving communications that feel punitive, bureaucratic, and cold. This framework resolves that tension across three phases, ensuring member retention, compliance adoption, and smooth directory activation.
2,200+ Members across AU, NZ, SG & HK to migrate
8 Membership tiers with distinct compliance obligations
July 2026 AQF Level 9 academic transition deadline
1:15 Clinical supervision ratio to track per member
The Three-Phase Rollout Architecture
Phase 01
Pre-Launch Empathy & Data Readiness
Weeks 1–4 · Before Membes goes live
Objective: Reduce anxiety. Cleanse data.
  • Launch the "Why We Evolve" email sequence — frame Membes as a professional shield, not an admin burden
  • Run a "Data Verification Drive" — invite members to confirm details in legacy system before final export
  • Map all 8 tiers to Membes object model — flag AQF Level 9 legacy members for grandfathering
  • Test critical workflows with LRG leaders and SIG coordinators as vanguard group
  • Prepare 60-second micro-tutorial scripts for CPD logging and supervisor upload
Key message: "The new system protects your registration — not just tracks it."
Phase 02
Frictionless Migration & Onboarding
Weeks 5–8 · Go-live through stabilisation
Objective: 90% primary login within 14 days.
  • Phased rollout — Board, LRG leads, SIG coordinators first; general membership second
  • Segment all communications by membership tier — Professional, Provisional, Student, Tier each receive tailored guidance
  • Deploy micro-learning: "How to log your first CPD point in 60 seconds"
  • Establish digital triage — empathetic pre-written responses for login failures, data mismatches
  • Week 8: Post-migration data cleanse — re-engage non-activators via SMS and phone
Key message: "Your CPD history is safe. Here is where to find it."
Phase 03
Directory Activation & Value Realisation
Weeks 9–12 · Driving long-term retention
Objective: CRM becomes a revenue asset, not a compliance tool.
  • Launch "Find a Therapist" directory — trigger automated profile completion workflows
  • Release "CPD Made Easy" campaign — break 25-hour requirement into logged modules, synced to Membes
  • Deploy automated clinical supervision tracking reminders (1:15 ratio) via Membes dashboard
  • Stress-test event module: coordinate first virtual networking CPD event via Membes ticketing
  • Deliver first automated Board report: membership trends, compliance rates, engagement metrics
Key message: "Your profile is now your referral engine."
Empathetic Compliance — The Communications Principle
Without this framework — High friction, member resentment
"Your CPD log is incomplete. Failure to update within 14 days will result in suspension of your Professional Membership and removal from the directory."
With this framework — Compliance achieved, member feels supported
"To keep your practice protected and your directory listing active, your CPD log needs a quick update this week. Log in here — it takes under 3 minutes."
